Bowker has a process for regular reviews of each publisher feed that we receive currently. We do this by requesting a full data file of all titles in your database, including front list and backlist titles. While reviewing data from your full file against the database, we are hoping to update older titles that may no longer be in print, as well as update any prices that might have changed since it was originally entered. During this review process, we also update our Publisher Authority Database to list the appropriate distribution clients and imprints, identify any issues with the format of metadata, and other issues. We also review the data file to ensure we are taking all fields that are supplied by the publisher/distributor.
Through this process, Bowker affirms that we have the most recent information on your titles and can send current data to our customers, such as Barnes & Noble, BooksaMillion, Hastings, Booknet Canada, Apple, Sony, Google, and other retail, school, and library customers.
We realize this is a lot of work. This is why the entire process takes roughly 4-5 months. We generally send one query per month on the file, in order to give the publisher/distributor time to research answers and get back to us.
How does it work? It begins with a hierarchy review of all publishers and distributors. If you have distribution clients or imprints we will send you a report from our system displaying what we show currently. We then ask you to make any necessary changes to that report so we can update our listings. Once we have completed the review, we ask the publisher/distributor to send us a full data file. Once the data file is received and loaded in the database, we then run reports against the file and database to look for missing or incorrect data. At that time, we will send back reports to the publisher/distributor asking them to look over the data or ISBN list for any titles that are out of print, no longer being distributed by them, or cancelled. Once we receive these answers we, update our database. Next, we analyze missing cover images, annotations, and prices. Once we receive feedback on all of these data elements, we are confident that our database is up to date and all gaps have been filled in.
